AAfPE Annual Conference Cancellation Policy

At AAfPE, we understand that circumstances may arise that prevent you from attending our annual conference after registering. To accommodate such situations, we have established the following cancellation policy to ensure clarity and fairness for all registrants:

  1. Cancellation Requests

    All cancellation requests must be submitted in writing to info@aafpe.org for documentation purposes.

  2. Refund Schedule

    • Up to 60 days before the conference start date: Full refund minus a $25 administrative processing fee.
    • Between 59 and 30 days before the conference start date: 50% refund of the registration fee minus a $25 administrative processing fee.
    • Fewer than 30 days before the conference start date: No refunds will be issued.

  3. Substitutions

    Registrants who are unable to attend may transfer their registration to another individual from the same organization at no additional cost. All substitution requests must be submitted in writing at least 5 days prior to the conference.

  4. Special Circumstances

    AAfPE understands that unexpected circumstances (e.g., serious illness, family emergencies) can arise. Requests for exceptions to the cancellation policy may be reviewed on a case-by-case basis. Supporting documentation may be required, and approval is at the discretion of AAfPE management.

  5. Conference Cancellation or Postponement

    In the unlikely event that the conference is canceled or postponed by AAfPE due to unforeseen circumstances (e.g., natural disasters, government regulations, health emergencies), registrants will be offered a full refund or the option to transfer their registration to the rescheduled event. AAfPE is not responsible for any additional costs, charges, or expenses (such as travel or accommodation) incurred by registrants.

  6. No-Show Policy

    Registrants who do not attend the conference without prior written notice are not eligible for a refund or credit.
